StudyAsan is an online educational academy and Classroom Management System (ACMS) designed to deliver interactive learning, live interactive classrooms, online test series, quizzes, assignments, and educational progress tracking for students, teachers, parents, and educational institutions.
We are committed to protecting the privacy, confidentiality, and security of our users ("User", "you", "your", or "Student/Teacher/Parent"). 2. Target Age & Children’s Privacy (COPPA & Google Play Families Policy Compliance)

StudyAsan provides educational services to students aged 9 and older, encompassing primary, secondary, senior secondary, and competitive examination preparation.
Because our target audience includes children aged 9 to 12 (under 13 years old), we adhere strictly to the Children’s Online Privacy Protection Act (COPPA), the General Data Protection Regulation for Children (GDPR-K), India's Digital Personal Data Protection Act (DPDP), and Google Play Developer Program Families Policy:

1. Parental/Guardian or School Consent: For users under the age of 18 (and specifically those under 13), account creation and enrollment must be conducted with verifiable consent from a parent, legal guardian, or authorized educational institution/teacher acting with parent authorization.
2. No Behavioral Advertising or Profiling: We do NOT serve personalized, targeted, or behavioral advertisements to children. We do not sell, rent, or trade children’s personal information under any circumstances.
3. Limited Data Collection: We collect only the personal information reasonably necessary for the child to participate in live classes, complete homework, submit assessments, and track educational progress.
4. Parental Rights: Parents and legal guardians have the right to:

• Review personal data collected from their child.

• Refuse further collection or use of their child's data.

• Request the immediate correction or deletion of their child's account and associated data by emailing us at contact@studyasan.com or submitting an in-app deletion request.

We collect information that you provide directly, data generated through your use of the platform, and technical device metadata.
 

A. Information Provided Directly by Users
 

• Account Registration Data: Full Name, Email Address, Phone Number, Password (stored securely as a cryptographic hash), and optional Referral Code.

• Student Profile Information: Name, Class/Grade, Educational Board (e.g., CBSE, ICSE, State Boards), School Name, Date of Birth, Gender, Blood Group (optional, for academy ID cards), Profile Picture, and Postal/Residential Address, Identity proof and contact details.

• Teacher and Employee Profile Information: Name, Address, Email address, Gender, Date of Birth, Blood Group, Nationality, Marital Status, Qualifications, Teaching Experience, Bio, Salary/Payout Information (for internal accounting), Bank details, Identity proof, and Contact Number.

• Academic & Educational Data: Homework submissions, test answers, quiz responses, whiteboard interactions, doubts, certificates earned, and attendance logs.

• Classroom Interactions & Communication: Text messages, images, PDFs, files shared within classroom chats or doubt forums, and audio/video streams during live interactive class sessions.

• **Community and Classroom Forums: Please exercise caution when sharing personal information in interactive features such as doubt-clearing forums, classroom group chats, or live Q&A sessions. Any information you voluntarily disclose in these shared spaces can be viewed and potentially collected by other authorized members of that class. StudyAsan is not responsible for the unauthorized use of personal information that you willingly make public within these educational forums.

• Payment & Invoicing Information: Transaction reference IDs, invoice numbers, receipt numbers, payment status, and chosen payment method (e.g., UPI, Net Banking, Credit/Debit Card). Note: Sensitive payment card details or bank credentials are processed securely by licensed third-party payment gateways and are never stored on our servers.

B. Information Collected Automatically

 

• Device & App Information: Device model, operating system version, unique device identifiers, network state, and app version.

• Push Notification Tokens: Firebase Cloud Messaging (FCM) tokens to deliver crucial educational alerts, class schedule reminders, and assignment updates.

• Usage & Performance Data: Login timestamps, session duration, class attendance records (join time, leave time, duration), and crash/diagnostic logs for app stability and performance optimization.

4. How We Use Your Information

We use the collected information solely for legitimate educational and service delivery purposes, including:

1. Delivering Educational Services: Providing access to live WebRTC-based interactive classrooms, recorded video lectures, modules, syllabus materials, tests, and quizzes.

2. Progress & Academic Reporting: Calculating quiz/test scores, generating performance analytics, producing "Know Your Child" parent reports, and awarding certificates of completion.

3. Classroom Administration: Verifying student attendance, managing teacher-student assignments, and generating digital fee invoices and receipts.
   Communication & Notifications: Sending real-time push notifications, class schedule reminders, homework deadlines, emergency class links, and account security OTPs.

4. Customer Support & Platform Security: Diagnosing bugs, preventing unauthorized access, ensuring classroom moderation, and resolving user grievances.

5. Recording of Live Classes: To facilitate academic revision, ensure classroom safety, and assist students who miss sessions, StudyAsan may record live interactive WebRTC-based classrooms. By activating your microphone and camera during these sessions, you consent to the recording of your audio, video, and chat interactions. These recordings are stored securely and are accessible strictly by authorized students enrolled in that specific batch, the respective teachers, and academy administration.

5. Permissions Used by the Mobile App

To provide full educational functionality, the StudyAsan mobile application may request the following permissions on your device:
 

Permission : Internet (`INTERNET`, `ACCESS_NETWORK_STATE`) PURPOSE: Required to connect to StudyAsan servers, stream live classes, sync study material, and load tests.
Permission : Camera (`CAMERA`) (Optional/Requested when needed) PURPOSE: Used by students and teachers to transmit live video during interactive video classes and to capture photos of homework/written test answers.
Permission : Microphone (`RECORD_AUDIO`) (Optional/Requested when needed) PURPOSE: Used during live classroom sessions to allow students to speak and ask questions to the teacher.
Permission : Storage / Photos (`READ_MEDIA_IMAGES`, `READ_EXTERNAL_STORAGE`) PURPOSE: Used to upload profile pictures, homework documents (PDFs/Images), or download certificates and notes.
Permission : Notifications (`POST_NOTIFICATIONS`) PURPOSE: Used to deliver important class schedule alerts, homework reminders, and notice board updates.

You can grant or revoke these permissions at any time via your device's Settings.

6. How We Share Your Information

We do NOT sell, trade, or monetize your personal information. We only share information with third parties in the following limited circumstances:
 

1. Authorized School/Academy Faculty: Teachers, administrators, and designated academic advisors have access to student academic performance, homework, attendance, and contact details strictly for teaching and classroom management.

2. Promotional Use of Academic Achievements: With prior notification and subject to the consent of the student (or parent/guardian for minors), we may publish the names, photographs, and academic achievements (such as top test scores or competitive exam rankings) of students on our website, social media, or promotional materials to celebrate their success and promote the StudyAsan platform. You may revoke this consent at any time by contacting our Grievance Officer.

3. Third-Party Service Providers: We work with trusted infrastructure service providers who are bound by strict data processing and confidentiality agreements:

• Cloud Infrastructure & Hosting: PostgreSQL database and backend application servers.

• Media & File Storage: Amazon Web Services (AWS S3) for secure storage of uploaded homework, certificates, and educational assets.

• Real-Time Video Conferencing: Janus WebRTC Gateway for live video classroom streaming.

• Push Notifications: Google Firebase Cloud Messaging (FCM).

• Payment Processors: RBI-regulated payment gateways (e.g., Razorpay, UPI) for secure payment transactions.

 

  4. Legal & Regulatory Compliance: If required by law, subpoena, court order, or governmental authority, or to protect the safety and rights of StudyAsan, our  users, or the public.

7. Data Storage, Retention & Security Safeguards

 

1. Data Security: We implement industry-standard administrative, physical, and technical safeguards, including:

• Cryptographic hashing (bcrypt/SHA) for passwords and verification OTPs.

• Role-Based Access Control (RBAC) ensuring students, teachers, and admins only access permitted data.

  2. Data Retention: We retain personal data as long as the user's account remains active, or as necessary to fulfill educational obligations, resolve disputes, and comply with statutory financial auditing requirements.

• Access & Review: You can view your profile, enrolled subjects, test history, and attendance records at any time within the app.

• Correction / Updating: You can update your profile details via the in-app Profile & Settings page.

• Withdrawal of Consent: You may withdraw consent for data processing by deleting your account.

 

Account & Data Deletion Policy (Google Play Compliant):

Users have the right to request permanent deletion of their account and all associated personal data:
1. In-App Account Deletion:

• Log in to the StudyAsan App.

• Navigate to Dashboard > Settings > Account Security / Profile.

• Select "Request Account Deletion" and confirm via the OTP sent to your registered email.

2. Web-Based Deletion Request (Direct URL):

• If you cannot access the app, you can submit a deletion request directly by visiting:

3. Data Purge Timeline: Upon verification of the deletion request, the user's personal profile, login credentials, chat records, and personal identifiers will be permanently removed from our active databases within 30 days, retaining only non-identifiable aggregated records required by applicable financial/tax laws.
4. Opt-Out of Promotional Communications: We may occasionally send you promotional messages, offers, or updates about new courses. You have the right to opt out of these marketing communications at any time by clicking the 'Unsubscribe' link in the email, updating your in-app preferences, or contacting us at contact@studyasan.com Please note that opting out of promotional messages will not affect your receipt of essential, non-promotional communications such as OTPs, fee receipts, and critical class schedule alerts.
5. Right to Nominate: In compliance with the Digital Personal Data Protection Act, 2023, Data Principals (users) have the right to nominate any other individual who shall, in the event of the user's death or incapacity, exercise the user's rights to access, manage, or request the deletion of their personal data on the Platform.
